The type of personal information I collect
I currently collect and process the following information:
- Personal identifiers, contacts and characteristics (for example, name and contact details)
- Personal information about you and third parties as disclosed by you in coaching sessions (which may include sensitive personal data such as racial or ethnic origin, political opinions, religious or philosophical beliefs, trade union membership, health information, information about sexual life/orientation)
- Recordings of sessions (audio and visuals)
How I obtain the personal information and why I have it
Most of the personal information I process is provided to me directly by you for one of the following reasons:
- To facilitate coaching sessions
- To arrange appointments
- For training and quality purposes
- To meet the requirements of my insurance and professional body
I also receive personal information indirectly, from the following sources, in the following scenarios:
- If personally-identifiable information about a third party is received from a client during a coaching session or through other contact, eg emails about appointments
Under the UK General Data Protection Regulation (UK GDPR), the lawful basis I rely on for processing this information is for the performance of our coaching contract.
Sharing information
- I do not sell your data to third parties or use it for marketing.
- There are some limited reasons why I might be obliged to share your data – for example, if I was ordered to by a court.
- While sessions are confidential, if I reasonably believe you are in imminent or likely risk of danger or harm, or there are other safeguarding concerns or illegal activity, I may need to inform appropriate agencies, such as law enforcement.
- In the unlikely event I am asked to share any of your information with my professional body (the International Coaching Federation), I will speak to you about this directly.
How I store your personal information
Hard-copy notes are kept in locked storage, and electronic documents are held on a password-protected hard drive and may be pseudonymised and backed up to a cloud storage provider (Google Drive). Emails are held on a secure and encrypted server (ProtonMail). Details of appointments may be held by Calendly.
I will keep information from coaching sessions for five years, as required by my insurer (https://www.holisticinsurance.co.uk/recordkeeping/). I will then dispose your information by securely shredding hard-copy notes and removing any electronic files from my personal computer and cloud backup storage as necessary.
Google, Proton and Calendly may share personal information outside of the UK. When doing so, they comply with the UK GDPR, making sure appropriate safeguards are in place. Please contact us for more information.
Your data protection rights
Under data protection law, you have rights including:
Your right of access – You have the right to ask me for copies of your personal information.
Your right to rectification – You have the right to ask me to rectify personal information you think is inaccurate. You also have the right to ask me to complete information you think is incomplete.
Your right to erasure – You have the right to ask me to erase your personal information in certain circumstances.
Your right to restriction of processing – You have the right to ask me to restrict the processing of your personal information in certain circumstances.
Your right to object to processing – You have the right to object to the processing of your personal information in certain circumstances.
You are not required to pay any charge for exercising your rights. If you make a request, I have one month to respond to you.
