Privacy Requirements – Coaching Session Outputs
I will only collect personal information about you to support our coaching relationship.
This will be in the form of:
• personal information from you
◦ name
◦ contact information
◦ location
◦ number of interactions with us, including date and time of each coaching interaction
◦ billing or purchase information
• any coaching session notes, will normally be captured on a Microsoft Surface and be hand-written.
• at the conclusion of any session a summary of the meeting notes may be loaded into my coaching portal, Practice, and will be shared with you. Only you and I have access to these notes.
• the information collected and entered into Practice, along with any chat’s, action points or to-do’s will only be used by the two of us for the purposes of our coaching relationship, as a chronology of our sessions and their outcomes.
• Practice is a Canadian owned company and is compliant with the European General Data Protection Regulation (GDPR). If you have any questions about Practice’s Privacy Policy, You can contact Practice by email: privacy@practice.do
I collect your personal information in order to:
• to provide coaching services to you,
• have a record of coaching clients, number of coaching hours completed and whether these hours are paid or pro bono to enable future accreditation with the International Coaching Federation,
• send invoices to you, our client/s
Retention and Destruction of Coaching Session Electronic Files
• All of your coaching information is stored with appropriate security safeguards.
• Any specific information discussed or issues raised during the course of a coaching session will be on a strictly confidential basis and I will ensure complete confidentiality of this information, except in rare circumstances where decreed by law or as agreed by you for a specified purpose.
• I keep your information for the term of the coaching services engagement at which point we securely destroy it by securely erasing all digital data.
• If we agree to set up a secure page for you on my coaching portal, Practice, you have access during our engagement and for a mutually agree period of time after we have completed our formal relationship.
• At the end of our coaching relationship I will archive your coaching records in my coaching portal, Practice.
• Any other information held, is stored in encrypted files on OneDrive, and only I have access to this information.
• I will retain files in electronic form for a maximum of two years from the time our formal coaching relationship is concluded. At any time after that period of time I may destroy files without contacting you.
Providing of this information is optional. If you choose not to provide your name and contact details, I’ll be unable to provide coaching services to you.
You have the right to ask for a copy of any personal information I hold about you, and to ask for it to be corrected if you think it is wrong.
