The ICF Member Website service offered by the International Coaching Federation (ICF) to all its members in good standing includes the processing of personal and privacy-sensitive data. ICF attaches great importance to the proper handling of personal data and thus processes and secures such data with due care and attention.

Your account

Registration is required to use our free ICF Member Website service. Upon registering, you will be asked to provide your email and password linked with your ICF membership profile on coachingfederation.org. ICF will use this information to verify your membership status in our ICF global database and approve your request to create an account which you can access using the same ID and password as the one used to connect on the ICF Global website.   Your password will be stored securely using a bcrypt encryption method.

ICF will store your email address and IP address for your account so that you can log into our portal securely. ICF will keep this information for a period of three (3)  months after you close your account.

ICF will also save your email address so that we can contact you if necessary. You can opt in or out of receiving emails from us via your ICF member profile.

Portal access

Our ICF Member Website portal provides access to a simplified administration environment where you can set, specify, and amend things for the benefit of the website you create using the ICF service. ICF will maintain a record of which actions you take and when, as well as any information you post on your website(s). This information is also linked to your IP address. Storing your IP address each time you access our portal helps ICF prevent unauthorized login attempts. ICF will keep this information for a period of one (1) year after your account is closed.

Please note that some of ICF’s staff members have access to the administration environment of your website, including any password protected elements, for customer service reasons and to facilitate early detection of errors and malfunctions. ICF staff members are regularly reminded of their duty to protect personal data and maintain confidentiality.

Statistics and profiling

ICF records statistics pertaining to the use of its online service. ICF uses these statistics to improve its  service so that, for example, only relevant information is shown. ICF uses your IP address and cookie information for this purpose. ICF makes decisions based on automated processing through computer programs or systems without involving natural persons (e.g. ICF employees). ICF s use this system, among other measures, to ensure ICF’s accessibility and ability to coordinate communication with you personally. ICF uses the following external computer programs or systems: Google AdWords remarketing, Google Analytics and Facebook Pixel to display advertisements based on your browsing behavior.

Special and/or sensitive personal data that we process

The ICF website and/or service does not intend to collect data from website visitors under the age of 16, unless those visitors have permission from a parent or guardian. However, as ICF has no way of verifying a visitor’s age, it encourages parents to take an active interest in their children’s online activities to prevent the unauthorized collection of a minor’s personal data. If you believe ICF has collected a minor’s personal data without permission, please reach out to us via our contact form and we will delete the relevant information.

Sharing data with other companies and institutions

ICF shares your personal data with other companies and institutions only when this is necessary for it  to provide  services or if ICF is  legally obliged to do so (e.g. if the police request said data in the event of suspected criminal activity).

ICF works with a number of partners who it may also share your personal data with, when this is necessary for ICF  to provide the services for which you have signed up.

Cookies

ICF’s online service uses functional, analytical, and tracking cookies. Cookies are small files in which ICF stores information so that you don’t have to re-enter it every time you access our service. ICF has agreements in place with other companies who place cookies. As ICF cannot control what those companies do with these cookies, we recommend reading their privacy statements.

You can disable cookie placement in your browser settings. However, this means you will no longer be able to log into ICF’s system. You can also delete all cookies placed by ICF or its partners via your browser settings. After logging in, ICF’s system will function correctly again.

Google Analytics

ICF  uses Google Analytics to track how visitors use its  online service.

Security

Personal data security is very important to ICF. ICF strives to maintain the security of your personal data, making adjustments where necessary and paying close attention to any risks. For example, ICF’s application uses a secure connection via Secure Socket Layer (SSL) technology, indicated by the padlock symbol in your browser’s address bar. ICF stores backups at an external location. ICF employees are explicitly instructed to maintain proper security on their electronic devices and to use secure login methods. ICF also carries  out penetration tests to detect any vulnerabilities.

Changes to this privacy statement

In the event of any changes to the ICF’s online service or to any relevant legislation, ICF must also adjust its privacy statement. ICF recommends making a note of the date at the top of the page and checking back regularly for updates. ICF will always endeavor to announce any important changes separately.
